We want the routine work out of our hands

A manual process that eats time and produces errors can often become something the system handles on its own.

When does it make sense?

  • Capable people spend hours on routine work the system could just as well do.
  • The same task is done a little differently depending on who does it.
  • Errors in the process only surface much later, when they are expensive to put right.

What it is about

Every order does the same round of hands

A workflow is the row of steps a task goes through before it is done: somebody types the order in, somebody checks it, somebody approves it, and the customer gets a confirmation. Digitising it means the system takes the steps that always end the same way, while your people keep the approvals and the exceptions.

  1. What your people are spared

The same detail only has to be typed once, and nobody has to hunt for where a case has got to. The customer gets a confirmation straight away instead of when somebody gets round to it.

  2. What it does to the errors

The task is done the same way whoever has it, even the newest colleague. The system stops the case that does not look right instead of passing it on, so mistakes are caught while they are small.

  3. When there is no workflow yet

If two colleagues do the task two different ways, there is no single workflow to digitise yet, and you first have to agree on the right one. A step that only exists because an old system once demanded it should be removed, not automated.

A new system rarely comes out of it. The work stays in the systems it already runs in, and what we build is the connection between them.

The workflow first, the system after

A workflow that does not work on paper does not get better for being digital.

A safe way in

How we start, without you committing to anything big

  1. Step 1

    Clarification meeting

A short conversation about the idea, and what we make of it at first glance. Free, and it commits you to nothing.

  2. Step 2

    Digital pre-project

We map the workflow as it is actually run today, and put a number on the gain. You get a concrete proposal with the numbers behind it, and if the idea does not hold, we say so. A fixed price, offset against the first stage if you build on within 90 days.

  3. Step 3

    Development in stages

We build in stages at a fixed price and take what pays for itself fastest first. After that, operation and support from people who know the solution.

You can stop after each step, without the effort being wasted.

What it usually consists of

We settle the exact scope together

What yours has to do is something we work out in the pre-project. An idea like this one usually contains some of the following.

  1. The system looks it up

The predictable steps are handled automatically, so nobody types the same thing in two places.

  2. People decide

Approvals and exceptions land with a person, the rest runs by itself.

  3. A trail you can follow

You can see what happened and when, the day somebody asks.
